Job Overview

This job contributes to Wawanesa’s success by administrating the Software Asset Management process. This role ensures that Wawanesa’s IS teams have consistent and repeatable processes to follow in support of minimizing negative customer service impact by having an accurately documented and licensed IT environment.

 

Job Responsibilities

  • Facilitate / administer the entire software asset life cycle by managing software acquisitions, compliance, licenses, inventory and agreements
  • Assist / Prepare and maintain the software budget including purchase tracking, accruals, projections, and reconciling variances on a monthly and quarterly basis
  • Document, report and reconcile large scale enterprise wide software licenses
  • Ensure that maintenance, support and upgrade protection renewals are managed/handled/ordered in advance of their expiration
  • Track software purchases by entering and maintaining information in a database including vendor quotes, purchase orders, invoices and license keys
  • Process requests from end users, management, and team members for specific IT software asset information
  • Manage / maintain relationships with software providers and management to identify savings opportunities for renewals, software licensing, and services
  • Interface with internal and external stakeholders, including end users, management and vendors, to ensure that software licensing compliance and auditing requirements are met
  • Assist / Facilitate the development of the software asset management strategy by analyzing and recommending various software license acquisition and usage options/alternatives to maximize financial returns
  • Identify and implement process improvements
  • Train / Mentor and guide junior team members
  • Perform other duties as assigned

Qualifications

  • 3 to 5 years experience in an IT Service Management role
  • 1 to 2 years experience in IT Software Asset Management
  • ITIL Foundations certification. At least one pertinent practitioner level certification or comparable courses is preferred.
  • Knowledge / experience with interpreting licensing terms and conditions, licensing models, contracts, and pricing arrangements
  • Demonstrated ability to work effectively as part of a team, but also be able to work independently
  • Microsoft Word and Excel skills capable of producing clear and concise process and training documentation, query and pivot table based reports
  • Strong written and verbal communication skills capable of delivering presentations to senior leadership and explaining technical information in business terms
  • Negotiation skills capable of achieving buy-in and commitment to negotiated results
  • Problem solving skills capable of collaboratively attaining quick and efficient resolution
  • Planning and organizing skills capable of multitasking effectively, prioritizing and tracking status on tasks appropriately and meeting tight deadlines
  • Attention to detail capable of balancing accuracy with timely response
  • Analytical skills capable of conducting comprehensive work reviews, analyzing large amounts of data and identifying potential impacts
  • Leadership skills capable of demonstrating commitment to the development of motivated and effective team members
  • Software asset management certification would be considered an asset, ex. CSAM, PCSLM, PCSLA
