Job Overview
The Supervisor, Facilities oversees the building services, facilities maintenance, and office services to enhance facility use and efficiency. This role ensures compliance with corporate and regulatory standards, including health, safety, and privacy. Key responsibilities include managing contracts with service providers, coordinating space allocations, and implementing safety protocols.
The role directs a diverse team responsible for daily operations, including building maintenance, space planning, security & access control, vendor relations, fleet management, and mailroom operations, while also managing budgeting and ensuring compliance with control standards. Collaborating closely with the Manager of Facilities Operations, this role is pivotal in maintaining operational excellence and aligning facility management practices with the organization’s strategic goals.
Job Responsibilities
- Direct and oversee building services, facilities, work management & administration, and office services to ensure optimal facility utilization and efficiency.
- Maintain compliance with corporate and regulatory standards, including but not limited to, occupational health and safety, strategic sourcing and vendor management, business continuity and corporate privacy and security.
- Support negotiations and management of contracts with third-party service providers, covering maintenance, security, and other facility-related services.
- Support the management of building space allocation, layout, and renovations in alignment with strategic business objectives and minimal operational disruption.
- Implement and enforce safety and security protocols across all company facilities.
- Lead a multidisciplinary team responsible for building maintenance, office services, premises management, and fleet vehicle operations.
- Oversee budgeting and purchasing for office-related accounts, fleet vehicles, ensuring compliance with privacy and branch controls.
- Coordinate fleet vehicle operations and administration, including maintenance schedules, leasing agreements, and operational policies to ensure efficient use of company vehicles.
- Lead team to meet and exceed key performance indicators, fostering the professional development of Facilities Specialists, Facilities Coordinators, and Facilities Operations Support.
- Work closely with the Manager, Facilities Operations on corporate facilities initiatives and future development planning.
- Perform other duties as assigned.
Qualifications
- A minimum of 5 years of supervisory experience in facilities management or a related field, including experience with fleet vehicle management.
- Bachelor’s degree in engineering, Facilities Management, Business Administration, or a related field, considered an asset.
- Demonstrated ability in building operations, including maintenance, renovations, safety, and security management.
- Demonstrated negotiation skills with experience in supporting contract management with third-party service providers.
- Excellent leadership, team management, and interpersonal skills, capable of fostering professional development and high performance.
- Proficiency in MS Office (PowerPoint, Excel, etc.) and familiarity with facilities management software.
