Job Overview

The Facilities Coordinator (Projects) is responsible for coordinating the planning, execution, and delivery of facilities-related capital and operational initiatives. Reporting to the Manager Facilities Operations, this role ensures projects and day-to-day facilities activities are completed efficiently, safely, and in alignment with corporate standards.


This position combines facilities coordination with project execution, vendor coordination, and technical activities, acting as a central point of coordination for assigned projects and operational workstreams, without direct supervisory responsibility.

 

Job Responsibilities

  • Coordinate facilities projects (capital and expense), including scope development, scheduling, budget tracking, and execution.
  • Act as the primary point of contact for project activities, coordinating internal stakeholders, consultants, and contractors.
  • Monitor progress, risks, and issues, and maintain project documentation (drawings, contracts, reports, close-out).
  • Coordinate site logistics, access, and communications to minimize operational disruption.
  • Support day-to-day facilities operations, including access control, space planning, service requests, and asset tracking.
  • Coordinate vendors and service providers, including scheduling, site access, oversight of work, and invoice review.
  • Perform basic contract administration, ensuring scope completion and vendor compliance with safety and site requirements.
  • Coordinate maintenance, inspections, and service activities related to building systems (HVAC, electrical, life safety).
  • Ensure compliance with applicable codes, standards, and internal policies; track deficiencies and corrective actions.
  • Maintain accurate records and reporting within internal systems (e.g., ServiceNow), and prepare status updates for leadership.
  • Provide backup coverage for facilities operations functions and contribute to process improvements.
  • Perform other duties as assigned.

Qualifications

  • Post-secondary education in Facilities Management, Engineering Technology, Business Administration, or a related field.
  • 2–4 years of experience in facilities coordination, project coordination, or building operations.
  • Experience coordinating projects or construction activities, including vendor coordination, scheduling, and basic contract administration.
  • Working knowledge of building systems (HVAC, electrical, life safety), maintenance practices, and regulatory requirements.
  • Proficiency in Microsoft Office; experience with facilities or project management systems (e.g., ServiceNow) is an asset.
  • Strong organizational, communication, and time management skills, with the ability to manage multiple priorities and maintain accurate documentation.
  • Professional certifications or progress toward CET, FMP, or PMP are considered an asset.
