The salary offered for this role is determined with consideration to various factors, including but not limited to: your work location, local labour market conditions, external market salary data, internal pay equity and the knowledge, skills, experience and anticipated proficiency in the role. The salary offered is estimated to be within the following range: $36,000 - $38,000. Candidates with salary expectations outside of the range are still encouraged to apply.

Job Overview

The Administrative Assistant provides reception and general administrative support to the department's various management members, while ensuring a professional representation of the department and the company.

 

Job Responsibilites

  • Assist walk-in members who are dropping off insurance-related documents for Life Co.
  • Assist in the preparation & sorting of outgoing mail, including urgent correspondence or cheques. Receive, sort, and distribute incoming mail.
  • Scan & email new documents to the appropriate department within a strict timeframe.
  • Record, research, locate, and update information for missing members for which mail has been returned.
  • Scan all incoming mail and other paper files, and ensure scans are legible and accurate
  • Process transactions thoroughly.
  • Monitor Life Co. email inbox for print & mail request and promptly process.
  • Monitor email inbox and forward inquiries from members, brokers, and the public to the appropriate department for processing.
  • Monitor and forward fax messages to the appropriate department for processing.
  • Perform other duties as assigned.

Qualifications

  • One year or more of customer service, retail, or office administration experience.
  • Excellent communication skills, with the ability to adapt their communication style based on the audience.
  • High comfort level answering and making phone calls to members.
  • Demonstrated ability to learn and work within a variety of technical systems.
  • Demonstrated deadline and time management, organizational skills, and excellent attention to detail.
  • Ability to work in a fast-paced environment.
  • Willingness to enroll in, or actively working towards completing LOMA Level 1, 280 and 290.
  • Completion of post-secondary would be considered an asset.
