The salary offered for this role is determined with consideration to various factors, including but not limited to: your work location, local labour market conditions, external market salary data, internal pay equity and the knowledge, skills, experience and anticipated proficiency in the role. Job Overview

As a member of the Human Resources Shared Services team at Wawanesa, the Shared Services Coordinator works collaboratively with other coordinators/ specialists to ensure consistent and efficient HR support aligned with company policies. This role serves as the primary point of contact for all HR-related inquiries, utilizing digital workflow systems and Human Resources Management System (HRMS) tools in a fast-paced environment.

 

Job Responsibilities

HR Service Delivery

  • Act as the primary contact for internal and external HR-related inquiries and requests via phone, chat, email, or digital workflow ticketing system. 
  • Provide scheduled chat and phone queue support.
  • Respond to general HR inquiries including system, process, or policy questions; produce correspondence (employment, promotion letters, etc.), manage leaves of absence, complete end-of-employment activities (recovery calculations and termination letters) and educate leaders on the HRMS systems.
  • Provide an exceptional employee experience by responding promptly to inquiries.

 

Collaboration & Support

  • Assist with recruitment efforts by coordinating and scheduling interviews.
  • Manage and process new hires into the HRMS system.
  • Oversee HRMS transactions by processing employment changes, collecting necessary documents, obtaining approvals, and ensuring accurate submission in HRMS.
  • Generate HR reports, format and present data using a range of MS tools and systems.
  • Commit to learning new HR processes, system updates and company initiatives.
  • Follow department policies, processes, and guidelines to ensure controlled and consistent task execution.
  • Manage the records of personnel data in both the central database and off-site storage. 

 

Project Coordination & Continuous Improvement

  • Participate or lead continuous improvement opportunities on processes, systems and reporting that drive efficiency and impact.
  • Coordinate and execute projects within HR Shared Services, clarifying objectives, setting timelines, and organizing information as needed.
  • Collaborate with People and Culture’s Centers of Excellence to resolve people and process gaps.

Perform other duties as assigned.

Qualifications

  • Diploma or Bachelor’s degree in Human Resources or equivalent. CPHR/CRHA is considered an asset.
  • Proficiency in French and English is required.
  • Minimum of one year experience of broad exposure to HR practices, preferably in a progressive organization.
  • Working knowledge of HR systems and technical concepts, SAP SuccessFactors and Dayforce is considered an asset.
  • Proven ability to work both independently and as part of a team. 
  • Proficiency with Microsoft Office Suites with emphasis on Excel.
  • General knowledge of current HR policies, processes, labour laws and employment legislation.
  • Strong customer service and interpersonal skills interacting with all position levels.
  • Drive for results, using sound judgment and problem-solving skills while meeting established service level standards.
  • Ability to multitask, prioritize critical items and manage high-volume work while learning quickly in a fast-paced environment.
  • Demonstrated ability to handle confidential information.
  • Experience in insurance is an asset.
