The salary offered for this role is determined with consideration to various factors, including but not limited to: your work location, local labour market conditions, external market salary data, internal pay equity and the knowledge, skills, experience and anticipated proficiency in the role. The salary offered is estimated to be within the following range: $44,000 - $51,000. Candidates with salary expectations outside of the range are still encouraged to apply.

Job Overview

Senior Administrative Assistant, reporting to the Supervisor, Office Services, providing reception and administrative support for the Department. 

 

Job Responsibilities

  • Prepare correspondence and documents for a variety of audiences, including company, and external parties.
  • Update reports with information from a wide variety of internal company and external sources
  • Schedule and coordinate meetings as requested, including coordinating availability of attendees, booking resources and compiling meeting documents 
  • Organizes and prepares department invoices for payment
  • Provides administrative support ensuring alignment of Fleet Policy requirements
  • Prepares incoming/outgoing mail, deliveries, courier packages and letter distribution
  • Answer and transfer incoming calls to appropriate personnel in a friendly, efficient, and accurate manner
  • Maintain regional distribution list for internal employee notifications
  • Assist with travel and conference arrangements as requested
  • Performs office functions such as: maintain office supplies, ordering of business cards, general report generation, and handling office inquiries
  • Provides staff of the department additional coordination and administration on large projects as requested
  • Maintain parking lists, assigns parking to staff or visitors as needed
  • Maintains daily visitor log, assigns access cards or keys to vendors / contractors
  • Perform other duties as assigned

Qualifications

  • Diploma/Certificate in related post-secondary education strongly preferred or equivalent combination of education and experience
  • 3-5 years of professional administrative experience
  • Proficiency in English & French (written and verbal) required
  • Advanced MS Office skills, Word, Excel, and PowerPoint
  • Detail oriented 
  • Excellent interpersonal skills
  • Strong organizational skills including the ability to multi-task 
  • Adaptable, resilient and demonstrates a willingness to learn the demands of a changing environment
